terms and conditions

The hirer agrees, by booking a party via email, phone, Facebook messenger, Instagram, completing the booking form, or by any other means, that they accept the Terms and Conditions.


All hire equipment is owned by and remains the property of Easy Peasy Tents and Teepees.



HIRE CHARGES

  • Provisional bookings will be held for 3 days before the security deposit is due. If a deposit is not paid during that time the date will be made available again.


  • Bookings are confirmed once a security deposit of £50 has been received for teepee hire, £100 for bell tent hire.


  • The full balance is due 7 days before the party date. At this time numbers, theme and any extras will be confirmed. After this time changes cannot be made.


  • The security deposit will be refunded 72 hours after the event following inspection of equipment and accessories.


  • The cost includes delivery (within a 15 mile radius of HP13), assembly, styling and collection on the agreed day. Delivery outside of this radius will be charged at £1.00 per mile. London congestion charge and off-street parking fees will also be charged if incurred.


  • The hire period is 1 night for indoor teepees and 3 nights for bell tents. However extra nights can be arranged with prior agreement with Easy Peasy Tents and Teepees.


  • The teepee equipment must not be used outdoors.


  • We do everything possible to ensure set up and collection is at the agreed time however delays may occur due to severe traffic problems, road closures or accidents.


  • All prices are subject to change however prices quoted at time of booking will be honoured.



CANCELLATION POLICY

  • Bookings can be changed up to 7 days before the original date and must be mutual between the customer and Easy Peasy Tents and Teepees. This is subject to availability of dates and themes already booked.


  • Bookings cancelled before 7 days of the party date will result in loss of the security deposit.


  • For bookings cancelled within 7 days of the party Easy Peasy Tents and Teepees have the right to charge the hirer 50% of the total package price.



SET UP AND SPACE - INDOOR TEEPEES

  • The hirer must be present at the agreed time for set up and packing away of the equipment.


  • The hirer is responsible for ensuring adequate space. The space required per indoor teepee and mattress is approximately 120cm x 190cm minimum and the breakfast trays are an additional 36cm wide. These can either go at the foot of the bed or on the bed itself if space is limited. The space required is to ensure safety of the children moving in and around the area. Easy Peasy Tents and Teepees will not refund in full or in part the monies paid in the event that adequate space is not available to set up the equipment.


  • The hirer must ensure that the area be free of furniture prior to our arrival and is clean (dirt and dust free) and is ready for the party to be set up and styled. Easy Peasy Tents and Teepees are not responsible for the removal of furniture to enable the party to be set up. Any delay in the start time because of this may result in a waiting fee being charged.


  • The hirer must ensure that there is a clear escape route.


  • The hirer is responsible for all equipment while in their care.



SET UP AND SPACE - OUTDOOR BELL TENTS

  • The hirer must be present at the agreed time for set up and pack up of the equipment.


  • The hirer is responsible for ensuring adequate and appropriate space. The space required per tent is the tent size plus an additional 2.5m. The space must be a firm and level site of turf or soft ground, free from flooding, trees and overhead obstructions. Artificial grass is not appropriate.


  • Easy Peasy Tents and Teepees will not refund in full or in part the monies paid in the event that adequate/appropriate space is not available to set up the equipment.


  • The hirer must ensure that the area is ready for the tent to be erected and styled, including making sure that the area is clear of any debris or obstructions that could cause injury or damage the equipment. Easy Peasy Tents and Teepees are not responsible for clearing the ground to enable the party to be set up. Any delay in the start time because of this may result in a waiting fee being charged.


  • The hirer is responsible for all equipment while in their care.



DAMAGE TO EQUIPMENT

  • Any damage to the equipment will result in loss of the security deposit either in part or fully. This includes stains to teepees, tents, bedding, blankets, rugs and cushions. We kindly ask that animals (other than assistance dogs) be kept out of the tents and teepees and well away from the equipment at all times.


  • If the cost to replace damaged or missing items, or additional cleaning required  exceeds the value of the security deposit an additional invoice will be issued for immediate payment.


  • Smoking is strictly prohibited in and around the teepees, tents and equipment as this creates a fire hazard and to prevent smoke odour on the equipment. If found then the equipment will all need to be professionally cleaned and will result in loss of security deposit.


  • Heating, cooking or the use of other gas or electrical appliances is prohibited within 5m of the equipment.


  • No fire, candle (including those on birthday cakes) or other naked flame is to be lit within 5m of the equipment.


  • No mobile phones or other equipment to be left charging in or near the indoor teepees.



SAFETY OF CHILDREN

  • It is the responsibility of the hirer to ensure that children are properly supervised at all times during the party. The hirer is responsible for the care and safety of all children at the party.


  • Easy Peasy Tents and Teepees are not responsible for the care and safety of the children and cannot be held responsible for any injury caused to a child during the party.


  • Easy Peasy Tents and Teepees accept no responsibility to damage to the hirers home, garden or possessions while hosting a party.


  • It is the hirers responsibility to inform guests accordingly to these Terms and Conditions. 



ALLERGIES

  • All bedding and soft furnishings are washed using non biological detergent. Please advise us in advance if a child has an allergy to bedding or a particular washing detergent so we can discuss options with you.


  • Easy Peasy Tents and Teepees cannot be held responsible for any allergic reactions to either food (eaten during the party) or bedding/soft furnishings.


  • We use quality products and follow strict hygiene routines.

  

GDPR

  • Your contact details will be stored on an electronic storage and retrieval system which will be created for the exclusive use of Easy Peasy Tents and Teepees for keeping in contact with you about your booking. This data will not be used by any third party without prior consent.


  • You have the right to request the removal of all personal data from Easy Peasy Tents and Teepees’ systems at any time. 



COVID-19 METHOD STATEMENT

Easy Peasy Tents and Teepees have undertaken Infection Prevention and Control and Prevent Covid courses. We will observe good hand hygiene at all times and PPE will be worn during delivery/set up and collection if requested. We would ask that we set up in a ventilated room and that the customer observes social distancing guidelines when in force.

The following items will be cleaned in order to best control and prevent infection:

* Bed sheets, mattress protectors, duvet covers, pillow cases and pillow protectors

* Teepee covers

* Cushion covers

* Blankets

* Breakfast trays

* Tents frames and poles

* Lanterns and decorations

  • All bedding and soft furnishings will be washed at the highest appropriate temperature (dependent on potential shrinkage) with added antibacterial laundry sanitiser. These will be removed from the washing machine to dry as soon as it is finished, to prevent the growth and spread of bacteria.


  • All tents/teepees, bedding and soft furnishings will be rested for 72 hours prior to the booking.


  • All hard surfaces will be washed with a disinfectant solution and thoroughly dried.


  • All equipment will be rested for 72 hours prior to the booking.


  • If anyone at Easy Peasy Tents and Teepees develops symptoms of Covid-19 before the booking commences, the booking will be cancelled and a full refund given. No notice period is required.


  • If anyone in the hirer’s household is showing any symptoms of Covid-19 or believes themselves to be infected before the booking begins, the booking must be cancelled before Easy Peasy Tents and Teepees arrives on site. In this case a full refund will be given.


  • If anyone in the hirer's household develops symptoms of Covid-19 or believes themselves to be infected after the booking has begun, all members of the household are to remove all belongings from the teepees/tent and in the case of the tent, zip it shut. Easy Peasy Tents and Teepees must be informed immediately and collection will be arranged for a suitable time after 72 hours has elapsed. There will be no refunds in this eventuality.


  • The tents are to be vacated of all persons and personal belongings at least 3 hours ahead of the agreed arrival time for collection. All doors and windows of the tents must be left open during this 3 hour period to ventilate the tents.

Easy Peasy Tents and Teepees have suitable public liability insurance and safety is of the upmost importance to us.
